News from Property Owner Service ... The property owner service desk has been created in an attempt to help property owners with ownership changes, assessment billing and accounting questions, and information as to the privileges and obligations of Association membership. Although property owner service can be reached through the main office number, there is a direct line as well on which you can leave a detailed message. Please be sure to provide the name in which the account is found, at least one tract number and a contact telephone number or email address. We will return your call within 24 hours usually, and hopefully will be able to provide the information you need within a day or two, although some research may extend response time. February 22, 2008: The 2008 Assessment Statements were mailed December 5, 2007. However, due to a problem that seems to have originated with the postal service, the statements were reprinted and mailed once again December 28, 2008. If you have not yet received an assessment statement for 2008, please contact the POATRI office immediately so a duplicate can be sent to you. The 2008 assessments are considered past due and subject to interest charges after March 31, 2008. February 19, 2007: All requests for information or review of POATRI records must first be reviewed by corporate counsel due to the ongoing litigation. If you wish to review POATRI records, please contact the ranch office for a request form and allow at least 30 days for approval.
A number of members have asked questions and/or expressed concerns about the scope and cost of the new owner/property data management program that has been developed to meet POATRI’s specific and evolving needs. Accordingly, the design specification for the new application is being provided (Design Spec -- 2mb file) to help educate members about its capabilities, which are greatly expanded from the existing system. The new application is named TRIPOD and uses Microsoft® Access as its database platform. It replaces an older and nearly obsolete DB2 application (TRPOA) that was written for the ranch several years ago. The design specification describes TRIPOD’s structure, functions, and user interface. Please note that when thedesign spec was written, the name TRIPOD (Terlingua Ranch Inc. Property Owner Database) had not been decided upon and the working title in the document was POMS (Property Owner Management System). There is a section that maps the differences between data stored in TRPOA and TRIPOD. A separate document (TRIPOD Conversion) explains how the old data was converted to the new database structure. Importantly, conversion and transfer of the owner and property data from TRPOA to TRIPOD was automated. However, the transfer was more complex than a simple “field to field” import of data into TRIPOD, therefore, it was necessary to carefully examine the existing data and write a fairly sophisticated data conversion program. Finally, this is the same design specification that was provided to the Operations Manager and the Board of Directors. However, the screen shots on pages 43, 45, 46, 47, 48, and 50 were removed because they showed actual owner data to illustrate the process being described in the text. For the sake of those owners’ privacy, these images were removed, but the descriptive text remains. November 28, 2005: The new property owner database, TRIPOD, will go into use this week. We will finalize the database conversion from the TRPOA system and begin using TRIPOD exclusively. The 2006 assessment will be billed using TRIPOD. The new billing statements are, hopefully, easier to read and understand. They will include information regarding semi-annual and quarterly payments as well as future finance charges. Please review your statement carefully and help us update your owner information as well as correct any errors. There will be additional updates to the TRIPOD system throughout the next few months, however the data conversion that allows us to start using TRIPOD at this time will enable us to improve our service to owners as we build in more features such as lien and foreclosure tracking, electronic ballot tabulation, and more complete reporting cababilities. July 29, 2005: A new property owner database software system has been approved by the Board of Directors. We will upgrade and expand the current software to a level that will allow much more accurate record-keeping, billing, ballot tabulation and mailings. The new system has been dubbed "TRIPOD" (Terlingua Ranch, Inc. Property Owner Database) and we are all looking forward to the upgrade.
