Property Owner Service Administrator

 

General Description:

The Owner Service Administrator handles all contact with property owners, current, former and potential. This includes the collection and processing of assessment receipts, as well as property owner changes and transfers and billing procedures. Additionally this position requires working with collections procedures and members of the Board of Directors assigned to various assessment collection activities, if any.

 

Work experience  and other requirements:

·         Proficient in computer use and some bookkeeping experience.

·         Understanding of the various Board policies and procedures governing assessment collection and property transfers.

·         Understanding of the legal aspects governing the transfer of property in the State of Texas.

·         Ability to work without daily supervision, and to follow both general and specific guidelines.

 

Job duties

·            Field and handle all property owner calls and to answer general questions regarding assessments, billing statements and property transfers.

·            Verify and enter into property owner records all transfers of property, name changes, address changes, etc.

·            Process assessment billing on an annual basis and interim billings as needed.

·            Maintain the POATRI property owner computer records in an expeditious manner.

·            Verify and enter into property owner records all payments, credits and adjustments of assessments. Process deposits to POATRI Deposit Account of all assessment funds.

·            Provide a monthly accounting of assessment activity to the POATRI bookkeeper for reconciliation between POATRI property records and POATRI accounting system.

·            Provide assessment information to proper parties for the transfer of property.

·            Interface with collections activities and maintain accurate records as to those assessment accounts that have been turned over for foreclosure.

·            Maintain and revise Property Owner Service Procedures Manual.

·            Maintain Property Owner Service office hours as decided by Management.

·            Performs the primary thinking called for by this overall job description.

·            Assumes other duties and responsibilities as directed by employee’s immediate supervisor.
